Job Description
At this time we are looking for an Administrative Assistant, the duties associated with this role are as follows:
• Maintain efficient an accurate system for monitoring all open purchase orders, including preparation and maintenance of invoices and reports;
• Update systems and inform involved departments with order acknowledgment dates for product arrival;
• Follow up on late PO’s and provide updated delivery information to effected parties;
• Address urgent issues and requests from the plant in a timely manner;
• Resolve invoice discrepancies or issues with accounting and vendors;
• Act as a liaison between suppliers and involved departments;
• Build and maintain vendor relationships through constant communication;
• Order office supplies and maintain inventory;
• Answer telephone and electronic enquiries and relay telephone calls and messages;
• Set up and maintain manual and computerized information filing systems;
• Determine and establish office procedures;
• Compile data, statistics and other information to support research activities;
• Supervise and train office staff in procedures and in use of current software;
• Assess requirements of an establishment and develop specifications for equipment, materials and supplies to be purchased;
• Complete clerical and administrative tasks as required;
• Make recommendations for department performance improvements; and
• Other duties as assigned by direct supervisor.
Skills requirements:
• College diploma
• Minimum 2 years of experience in administration and procurement is required.
